At Wholistic Life Concepts, coaching services are personalized and time is reserved specifically for each client. This Refund Policy explains how payments, cancellations, unused sessions, and program refunds are handled.

By purchasing a coaching package, booking a session, submitting payment, or beginning a coaching program, you acknowledge and agree to this Refund Policy.

1. Coaching Packages and Program Fees

Wholistic Life Concepts offers coaching packages and programs that may include private sessions, wellness education, lifestyle support, resources, and brief check-in support when included in the selected package.

Program fees are based on the package selected and the agreed-upon payment option, including payment in full, monthly payments, or another approved payment arrangement.

The existing client agreement already states that program fees are generally non-refundable once the program has begun due to the personalized nature of coaching and the reservation of time in the Coach’s schedule.

2. No Refunds Once the Program Has Begun

Once a coaching program or package has begun, all fees are generally non-refundable.

This applies to:

Payment-in-full purchases
Monthly payment plans
Custom payment arrangements
Partially used packages
Missed sessions
Late cancellations
No-shows

Because coaching services are personalized, the Coach reserves time, preparation, support, and program capacity for each client.

3. Payment Plans

If a Client chooses a payment plan, all scheduled payments remain due according to the agreed-upon payment dates.

Payment plan installments are due regardless of session attendance, as stated in the client agreement.

If payment is not received within the required timeframe, Wholistic Life Concepts may pause coaching services until payment is brought current.

4. Session Cancellations and No-Shows

Clients must provide at least 24 hours’ notice to cancel or reschedule a session.

Sessions canceled with less than 24 hours’ notice, or missed sessions/no-shows, may be forfeited and are not eligible for refund or rescheduling, except in cases of emergency at the Coach’s discretion.

5. Unused Sessions

Unused sessions must be completed within the timeframe stated in the selected coaching package, program agreement, or written communication from Wholistic Life Concepts.

Any unused sessions remaining after the package or program expiration period may be forfeited without refund unless otherwise agreed upon in writing.

6. Discretionary Credit for Unused Sessions

In limited circumstances, Wholistic Life Concepts may consider a partial prorated credit for unused sessions.

Any credit is offered solely at the discretion of Wholistic Life Concepts and is not guaranteed.

A discretionary credit may be applied toward:

A future coaching package
A future session
A different service, if approved

Cash refunds are not guaranteed.

7. Program Cancellation by the Client

If a Client chooses to discontinue a program after it has begun, the Client is not automatically entitled to a refund.

Any unused sessions may be reviewed on a case-by-case basis, but refunds or credits are not guaranteed.

8. Program Cancellation by Wholistic Life Concepts

Wholistic Life Concepts reserves the right to end the coaching relationship if the Coach determines that the relationship is no longer appropriate, beneficial, safe, or aligned with the scope of services offered.

If Wholistic Life Concepts ends the coaching relationship, the Client will only be responsible for services already provided on a prorated basis, unless otherwise stated in a separate written agreement. This matches the language already included in the Program Agreement.

9. Digital Materials and Resources

Any handouts, recipes, worksheets, wellness tools, downloads, or educational materials provided as part of a program are for personal use only.

Digital resources, downloadable materials, and educational content are generally non-refundable once accessed, delivered, or made available.

10. Medical or Life Circumstances

Wholistic Life Concepts understands that unexpected life events, illness, emergencies, or personal circumstances may arise.

In these cases, Clients are encouraged to contact the Coach as soon as possible. While refunds are not guaranteed, Wholistic Life Concepts may consider options such as rescheduling, pausing, extending the package timeline, or applying a discretionary credit.

11. How to Request Review of a Payment or Credit

To request a review of an unused session, payment issue, or possible credit, please contact:

12. Policy Updates

Wholistic Life Concepts reserves the right to update this Refund Policy at any time. Updates will be posted on this page with a revised “Last Updated” date.
